Meetings 2010


2nd August 2010
A meeting was held at 7.00 pm on 2nd August 2010 in Llanteg Village Hall.

Present were:- Malcolm Brewin, Jill Chatwin, John James, Sue James and Andy Webb. Jessica Morgan from Planed.

Apologies:- Helen Baggott and John Baggott, Jeane Brewin, Rebekah Chatwin, Rob Chatwin and Ruth Webb.

The minutes of the previous meeting were read and confirmed.

BBQ
It was decided to cancel the planned BBQ which was due to be held Saturday 3rd July, due to people being away, and the bad weather, and just hold the one event on Saturday 7th August. A few people have advised that they will not be able to make the event, John Lewis-Tunster, Andy and Ruth Webb. Radio Pembrokeshire have contacted for advertising the event. John Lewis-Tunster will drop off some bricks, so the disposable BBQs can be raised off the ground. John James will arrange with Calvin for a supply of water. Malcolm was to ask Peter from the Wanders Rest, if he can come, and bring his guitar.

The Old School Garden
We have received donation of plants from Crofty Nurseries and Jo from Rose Cottage. An acknowledgement letter was to be sent to thank them both. The 'Welcome' sign for the Old School Garden, still awaiting confirmation. A bench has been ordered, and Jill will be advised when it is ready, Autumn time.

Fund Raising
Jessica Morgan from Planed joined the meeting. She advised that following a hub meeting which was held in Saundersfoot, Planed had been in touch with Bronwyn Thomas regarding looking into enhancement of the surrounding areas. John James advised that he had had correspondence from her, but would not be able to attend, and Tony Brinsden would be attending. Jill will contact Tony, and advise the necessary people to meet Bronwyn. Jessica also advised that there might be funding available from Planed, and to contact them as soon as possible to submit a list of items that we would are looking into purchasing. Jesica advised that the funding available would need a 10% contribution from from us. Jessica was advised on the work that had been carried out in the Old School Garden and The Clay Pits. She also advised that they would be willing to help out at further events and look into projects, eg improving the entrance to the Claypits. Jessica also advised that they are also able to help out with support for posters and photocoping. John James thanked Jessica for her visit and all her help.
A discussion took place regarding items that we would like to purchase for 'The Old School Garden' and 'The Claypits'. Idea's include more benches, Sign's similar to the one at the memorial garden. A list to be drawn up and then submitted to Jessica at Planned.
With the offer of funding from Planed and the Lottery Funding, no letters have been sent to local businesses. The funding for PLANED to be completed first, then look into the Lottery Funding.

Community Walk
Amroth to Saundersfoot – Sunday 12th September at 2.00
Jill to contact Kiri to confirm that everything is OK for the planned walk, on Sunday 12th September. Jill to contact Ruth Roberts, to ask if she could design some posters, ready for the BBQ. Radio Pembrokeshire have been advised of the walk.
Further walks, with Kiri being busy during the summer, to wait till after the walk to discuss further events with her.

Claypits
John James thanked everyone that attended the working party to move the stones. The area has now been strimmed and would benefit from having some grass seed scattered over. It should be OK to sow the seed up to September. It was decided that field grass would be a better choice and look more natural rather than lawn grass seed. John James to enquire about purchasing the grass seed. When the grass seed had been purchased, volunteers would be needed to help rake over the area.

Events
Quiz and Bingo Night – October
A date has been set for the bingo and quiz night, Saturday 30th October 2010, at 7.00. Tickets to be £5.00 per person and food to be provided. John was asked for easier questions! Ruth Roberts to be asked to design a poster, and inform the papers.
Carol Service – December
Sue James to speak to Rev Sarah Greach regarding details and a date. Kevin Phelps to be asked if the children from Tavernspite school could be involved again.
Easter Sunday – April 24th from 2.00 till 5.00
Details to be arranged and funding to be sorted at a later date.
Jill had received an email from Planed, regarding holding an 'Wild Life on your Patch Event'. Planed have already planned their schedule for this year, but there is opportunity's to hold an event in either May or June next year. Jill will contact Planed and ask for more details.

Apologies were received from Malcolm Brewin, Rob Chatwin & Rebekah Chatwin.

Chairman’s Report
The Chairman paid tribute to Madaline Cole, who sadly passed away in January, and that she will be greatly missed by everybody.
The chairman thanked everyone for all their hard work during the year. The funding that was received from the Communities First Grant we were able to purchase new tools and a new shed, and a bench. The Chairman thanked Ruth Roberts for all her hard work over the year, and submitting all the press releases.

Events held over the year -
August – A walk from Llanteg to Amroth and back by Kiri Howells. We had to cancel the intended family afternoon and BBQ due to the bad weather.
December – The Carol service was well attended and the involvement of the local children, make it a very enjoyable event.
February – A very successful quiz and bingo night was held in the hall and raised £99.
May – Community Walk & Talk from Stepaside Iron Works to Wisemans Bridge lead again by Kiri Howells, and was very well attended, with about 40 people.

This would have gave us a net loss of £184 for the year, but we still had £501 left of the grant from the previous year. The expenditure for the year, less the tools was only £114, which would give a profit of £315.
The Balance in the current account is £102.82 and the deposit is £332.66 making a total of £435.48.
The Chairman thanked the Treasurer for all her work over the year.

Election of Chairman
John James was re-elected as Chairman, proposed by Andy Webb and seconded by Helen Baggott.

Election of Treasurer
Jill Chatwin was re-elected as Treasurer, proposed by Helen Baggott and seconded by John Baggott.

Election of Secretary
Jill Chatwin had been acting as secretary since the sad death of Madaline Cole, the previous secretary. No body came forward, to take on the role, so it was decided to carry on as Jill Chatwin being Treasurer & Secretary.

Community Walks
3rd May 2010 – A very successful walk was held on the bank holiday Monday, 3rd May. The event was attended by about 40 people and was very interesting. Kiri knowledge about the area and wildlife helped to make the event very enjoyable. Jill to write a letter of thanks to Kiri. Bob Cole enjoyed the walk,and took some photos and a write up and photo was send to the local paper.
12th September 2010 – Amroth to Stepaside. Awaiting arrangements with Kiri.
Walk to Marros to be looked into and Kiri to look into a walk from Amroth to Tenby.

The Old School Garden
John Tunster had been consulted about asking his Dad about making sign from wood for the entrance to the garden. The wording to be – ‘Welcome – The Old School Garden.’ It was agreed to purchase another bench for the garden with the proceeds from the Quiz and Bingo night, the same as the last one that Jill had purchased from where she worked. A quote has been obtained for the same price as the previous bench £90, and would be made when the weather is bad. John suggested getting some bedding to plant in the bank. A maintenance work party to be held on 28th June at 10.00 to tidy up and plant up the bank. It was suggested to ask Crofty Nursey, if they would donate any flowers for the garden. Another community group had placed a write up in the Tenby Observor, asking for spare plants, and had a good response, it was decided to ask Ruth R to add a comment to the press releases.

Claypits
The claypits are making progress, the JCB has moved the chipping to the edge and flattened them.
The Chairman has spoken to Alan from Trenewydd about acquiring some top soil. It was decided to hold a working party on Saturday 25th June, to clear the stones and rake over the ground.

Quiz & Bingo Night
It was decided to hold another quiz and bingo night, sometime in October, the date to be confirmed with John T. The price of the tickets to increase to £5.00 per person and inform everyone that they can bring their own drinks and food will be included in the price of the ticket.

Fund Raising
The petrol station has new owners, and it was suggested, that we enquire if they would allow to do any fund raising?
John Baggot produced a letter which his bowls team had used for fundraising. It was decided to write to The Petrol Station, Battlefield Live, Pendeilo Lesure Park, Wanders Rest, Crofty Garden Centre & Nerys fish export business and The Sporting Chance, Red Roses. The treasure to produce a letter for the next meeting.
Quotes to be obtained for putting on future events.
John James informed everyone that there was funding available via the Community Wildlife Fund –from the Big Lottery fund. A form had been down loaded from there site and will be looked into ready for the next meeting.

Events
Saturday 3rd July – BBQ – Bring your own in The Old School Garden it was decided to cancel this events and just have the one BBQ event in August, because a lot of members would be away.
Saturday 7th August – BBQ – Bring your own in The Old School Garden
The BBQ to start at 5.00 and to ask Ruth R to produce a poster and to inform the local papers, Jill to contact Radio Pembrokeshire.
Easter Sunday April 24th from 2.00 till 5.00. – Family Event finishing with a BBQ from 5 – 7.
Jill to contact various organisations for quotes and details.
Suggestion for the event, include an Easter Egg Hunt, Painting Eggs. Making something with wood, to keep the boys happy! Asking Jerry to do the spinning. Asking Caz from Marros to help.
Rebuild the willow house. Look into different tutors to take part in the event.
Jill had contacted the ‘Darwin Centre’ and said they would be happy to help and to contact them near the time. Planed & Kiri Howells from the National Parks would also help. The Princes Trust had been contact, and we were informed that Lynne Chattoe did not work for them any more.
‘Wildlife on your patch’ Planed had informed us they had organised the events schedule for this year, will be in contact about the future events for the coming year. Jetske has left Planed and Rupert Dunn would be taking over from her. A letter of thanks had been send to Jeske for all her help and hard work.
Carol Service to be held in December, to be held joinly with Llanteg Village Hall committee. Sue James to speak to Rev Sarah Greach about dates and arrangements.. Jill raised the point that last year the carol service was on the same day as Saundersfoot market and it would be better if we could have it on a different day this year. Date provisional of 12th December at 3.00 p.m.

Community Walks
3rd May 2010 - the Stepaside walk has been advertised in the local papers and on Radio Pembrokeshire and Ruth Roberts has updated the website. The walk is to start at 2.00, so it was suggested that we meet at 1.45. John James suggested that we meet in the lower car park. It was decided that it would be best to have someone in both car parks. Jill is to type up a note with the date of the next walk and our website on, also to bring a book to get name and email addresses of people attending.

The Old School Garden
Andy raised the question regarding sorting out the tools, and moving some to the garden.
John Lewis-Tunster had not been connected yet about asking his Dad about the wood for a sign for the garden. It was noticed that one of the bird boxes has had a dead bird in it.
It was agreed to purchase another bench for the garden with the proceeds from the Quiz and Bingo night, the same as the last one that Jill had purchased from where she worked. She would obtain a quote.

Claypits
John Baggott queried about having the Claypits rotavated, with all the chippings on!! He said that we would have to do it before the end of June or after the end of September or the soil would be too compacted.

Quiz & Bingo Night
The quiz and bingo night raised £99.00 and the evening was enjoyed by all that attended. It was suggested that John.T. could find some easier questions for next time! It was also suggested that we increase the price to £5.00 per person and inform everyone that they can bring their own drinks and also that food will be included in the price of the ticket.

Fund Raising
A cuddly toy giraffe was purchased for a ‘Guess the Name’ and Jill went down to Summerhill Farm Shop on Easter Sunday afternoon, and has left the toy there for now.
John Baggott informed everyone that his bowls team had been very successful in securing funding by writing to local businesses in the area. He suggested that we could do the same and write to some of the bigger companies in the area, eg. Mucro, New Power Station, Folly Farm, Bluestone etc. It was suggested contacting local businesses in the immediate area as well. Everyone to think of who we could write to for the next meeting and John will do a draft letter.

The times and posters to be arranged at the next meeting.

Planed hold events called ‘Wildlife on your Patch’ and it was suggested we contact them regarding hosting an event in Llanteg in the future.

Treasurers Report
The Quiz and Bingo night raised £99.00. We have received a cheque from Easy fund Raising for £63.31. Name the Giraffe has raised £22.51 so far. We have also received a donation from Amroth Community Council towards The Clay Pits.

Matters Arising
The Chairman paid tribute to Madaline Cole, and for all the hard work and her commitment as secretary, following the sad news of her death. The treasurer said she had been in touch with the bank and a new mandate would need to be completed. We would also need another signature on the bankaccount. Andy Webb has volunteered.

Communty Walks
The Chairman thanked Kiri Howells (Ranger Pembrokeshire Coast National Park) for attending the meeting.
Stepaside walk. The provisional date of Sunday 25th of April was unsuitable, so it was decided to hold the walk on Monday 3rd May. The route is going to start at ‘The Iron Works’ Stepaside and use the new all purpose path to Wisemans’s Bridge. Kiri is going to walk the route and work out a circular route of about 2 to 3 miles. The walk is start at 2pm with a view to finish about 4pm.
Amroth – Wisemans Bridge walk. To be held on Sunday 12th September to start at 2pm. To meet at Amroth Beach by the flagpole. Route starting at Amroth and walk along the beach to Saundersfoot, coming back along the coastal path. Kiri was going to check the tide table and route.
Kiri stated that she would be able to compose posters for the walks and the Treasurer would contact Ruth Roberts to advertise on the village website and papers.
The sponsered/fundraising walk from Amroth to Tenby would be looked into for a later date. It was suggested also looking into doing a walk from Amroth to Marros maybe after Christmas.

Old School Garden
The spring on the gate is still not strong enough and Malcolm will look into replacing it with a bigger spring. The garden is looking lovely and tidy at the moment with some of the bulbs coming through. The weeds are under control at the moment, but a tidy-up day has been arranged for Tuesday 30th March at 10.00am. Jill had spoken to Sharon from Natural Creation, and she had said that a sign made from driftwood would not last outside. It was suggested that wood from another source be obtained, and then the sign could be engraved by her. A request to ask John Tunster to enquire with his Dad if he has any wood that could be used? Ruth Roberts had send an email regarding putting a note in the newsletter about the garden being open and that the community were welcome to go in and look around.

Claypits
The Chairman thanked everyone for their work. Malcolm to going to contact Roy is see what they want to do any more work clearing, before the shredder is brought down. John James to contact MrPlumb to make the arrangements for the shredder. It was decided to leave the top area to settle and see what develops. Next year to try to make another opening and work on clearing up in the middle.
A suggestion of planting Willow trees at the bottom would suit the boggy soil also some posts and railing were needed. Jill to enquire with the Woodland Trust and Caz from Marros Woods.

Quiz and Bingo Night
The Quiz and Bingo Evening on Saturday 27th February – posters had been made and distributed in the community and the papers and Radio Pembrokeshire has been contacted. It was decided to provide tea and coffee and squash and put on a small tea of sandwiches, crisps and sausage rolls cakes etc. Ruth Webb to provide the squash and serviettes. Everyone to provide a small contribution for the food, and to be at the hall for 2pm to set up ready for the evening. John James is going to contact John Tunster regarding finalising further details.

Last year we were planning on holding a BBQ, but this was cancelled due to the bad weather, to look into arranging another on later on in the year.

Correspondence
Planed are holding a Marine Nature Day on Sunday 28th March at Ocean Lab in Fishguard. For further information contact bethanyl@planed.org.uk there is a charge of £7 per person.

Treasurers Report
The bank balance currently stands at £135.16.

A donation of £25.00 was sent to the Paul Sartori Foundation, in memory of Madaline.
The ‘Guess the Name’ chocolate moose was won by Sylvia Johnson of Tresselly Lane.
A request had been made to Summerhill Farm Shop, and they have agreed that we could have a ‘Guess the Name’ toy there to raise funds.

Matters Arising
The chairman informed everyone that the secretary is very ill at the moment.

Carol Service and Senior Citizen's Party
The Chairman thanked everyone for their involvement in the Carol Service, and reported that everyone had enjoyed the service and thanked Sarah Geach for leading the service. Thanks were expressed to Kevin Phelps for his involvement organizing the children from Tavernspite school. The treasurer will send an email to both to thank them. It was suggested that we could check the dates for next time, because the Carol Service was held on the same day as Saundersfoot Christmas Market.

Old School Garden
Due to the bad weather no maintenance work had been undertaken. Malcoas been under taken due to the recent bad weather. John James stated that the ground would benefit from the use of a rotorvator. The chairman reported that the Probation service had been in touch, to enquire if we would like their assistant again, because there is not any heavy work that needed to be undertaken, the offer would be declined this time.

Village Walk
A provisional date of Sunday 25th of April was suggested and various routes were also discussed
Amroth to Marros, – Amroth to Wisemans Bridge - Stepaside to Wisemans Bridge
Jill would email Keri to check the available dates and routes with her. Helen stated that she could contact Tenby’s Steps to Heath, for a contact. A longer sponsored walk/fund raising walk (Amroth to Tenby) would be looked into to raise funds.

Quiz and Bingo Night
The original date of Saturday 9th January 2010, had to be cancelled due to the bad weather conditions. A new date of Saturday 27th February has been arranged. Ruth Roberts is to be asked if she could do a poster and send the information to the papers. It was decided that team to be a maximum of four people. A small prize is to be organised for the winning team, perhaps a bottle of wine?
The cost of entry was discussed, and a suggestion of £2.50 per head. It was decided that John James should speak to John Lewis-Tunster. Donations for small prizes would be welcome. The funds raised would go towards putting on another event in the village.

The proceeds raised so far – Guess the Name of the Moose – £41.70 and £50.50 from the necklaces and keyrings. A cheque was requested for £36.85 to cover the cost of the necklaces, and another order was requested to make some more, in time for the quiz night. The Treasurer would look into venues where the necklaces could be displayed to raise funds.
